Accurate timesheets keep paychecks correct, protect the studio’s compliance with labor laws, and help the team feel taken care of. As a manager, you are responsible for reviewing and approving your direct reports’ timesheets every payroll period and making sure any errors or flags are resolved before payroll is submitted.
Your Responsibility
You are accountable for:
- Reviewing each direct report’s time entries for accuracy
- Resolving or correcting any system flags (missing or late clock outs, missing breaks, etc.)
- Approving timesheets on time so payroll can be processed smoothly
If a timesheet is wrong or incomplete and it gets approved anyway, it can create payroll issues that take time (and trust) to repair.
Approval Cadence
- Approvals Due Every other Tuesday by EOD
- Plan to complete your review early—don’t wait until the last minute in case you need staff to fix something.
How to Approve Timesheets
Log into Gusto → Time & Attendance → Time tracking → Review
Check For
Completeness
- All scheduled shifts worked are reflected
- Any prep shifts or support shifts are included
Accuracy
- Correct start/end times (reasonable for the shift)
- Breaks recorded properly
- Any approved time off is logged that should appear in the period
