The Studio Manager playbook for making safe decisions when staffing changes at the last minute (late arrival, late call out, no shows).

Minimum Coverage
Ratio means the number of students per supervising adult.
- CHS Minimum ratio: 10:1 (we may not operate above this)
- CHS preferred ratio: 6:1
⚠️ We only open and allow drop-off when:
-
There are at least two adults on-site and actively supervising and;
-
We can maintain 10:1 ratio or better based on the number of students present.
❌ If either condition isn’t met: do not open and pause drop-off until coverage is present.

Studio Manger Protocol
For late arrivals, late call outs, and no shows you should communicate, take action and escalate if necessary.
1. Communicate with Staff
Team member is not present at shift start (No Show):
Contact team member for an ETA
- T+5 minute: Text or call the employee
- T+8 minutes: Call again
- T+10 minutes: Notify Jen via text: “staff not present.”
Team member calls out same day (Late Callout):
Acknowledge, confirm what’s happening, get an ETA
- “Thanks for letting me know—are you safe?”
- Confirm: Are they fully out or just running late? Get an ETA if they’re coming.
2. Take Action
❌ If minimum coverage is not in place:
- Delay opening. Can not accept drop-offs until safe coverage is present.
